We regularly get positive feedback from clients about how we deliver our formal quotes. The quotes come through as a standard email, with a link that goes to an online version of the quote, nicely styled and formatted and split into appropriate sections. The recipient then has the ability to accept, decline or discuss the proposal, to download it as a pdf or share the link with others. On the admin side we have some great functionality, including stats and graphics on our quote performance and the ability to easily track and follow up quotes.

So why am I telling you this? Well I thought you might like to know how we do it.

First a bit of background. We build the majority of our internal systems for Customer Relationship Management (CRM) and we also use tools and packages to help us in specialist areas like accounts. When we started Resolution we produced formal quotes using a spreadsheet, then saved the quote element to pdf and attaching that to an email. Later we developed a quote tracking system that was part of our own online CRM system, to log the quotes and set reminders for follow up. But what we really wanted was a fully integrated system to give us the ability to produce professional, good looking online quotes, log them, track them, give us the ability to follow up and then convert the quotes to orders on our CRM system.

Our initial thought was to build this functionality as a new module into our CRM system, but prior to doing this we decided to survey tools and systems that are already available as products or online apps, which may fit the bill and save us the development time building our own system. We completed our research and found a really nice product that does the majority of the things we want very well, plus a few more besides. The system is called Quote Roller and we’ve been using it for a year. It’s working very nicely and we use it for the vast majority of new business quotes.

So if you’re looking to improve the efficiency of quoting take a look at Quote Roller. However, if your looking to improve more bespoke internal processes then finding an off-the-shelf system can be very difficult/impossible. The good news is these days you can get a bespoke application built for your business for sensible money.
